JOB TITLE: Administrative Assistant – Fire Department
Pay Grade: AA1
RESPONSIBILITIES
- Provide clerical, secretarial and administrative services to EMS, fire prevention division and fire administration
- Schedule fire inspections and station tours
- Receive the public and answer questions
- Respond to inquiries from employees, citizens and elected officials
- Answer telephones and direct to appropriate department
- Maintain departmental files and paperwork
- Monitor and maintain office supplies
- Open and distribute incoming mail
- Assist in compiling grant applications
- Prepare and calculate time cards
- Provide the public with copies of official reports, as needed
- Prepare various weekly and monthly reports for fire administration
- Perform other duties as directed
REQUIREMENTS/KNOWLEDGE
- General knowledge of fire codes preferred
- Ability to maintain confidentiality
- Deal with others in a professional manner
- Communicate effectively with residents, elected officials, other city employees, contractors – both orally and written
- Accurate typing and data entry using a personal computer
- Use of various pieces of office equipment
- Use of multi-line telephone system
- Microsoft Excel and Microsoft Word experience
- Working knowledge of Firehouse Software is preferred
- Mathematical skills
- Meet specified or required deadlines
- Ability to coordinate several task concurrently with frequent interruptions
